This policy explains what personal information we collect when you visit this website, get in touch or have flooring supplied and fitted by us, what we do with it and the rights you have over it.
Who we are
Deben Carpets & Flooring is the trading name of Deben Floors Ltd, a company registered in England and Wales (company number 09124773). We are the controller of your personal data, which means we decide how and why it is used.

- Phone: 01473 626097

The information we collect
Depending on how you deal with us, we may collect:
- Identity details: your name.
- Contact details: your email address, phone number and postal address, including the address of the property we are measuring or fitting.
- Job details: the rooms and floors you are interested in, measurements, quotes, orders, photos you send us, and notes about access, furniture or timing.
- Payment details: records of what you have paid and when. We do not store card details on this website.
- Technical details: your IP address, browser and device type, and how you arrived at and moved around the website.
- Marketing details: whether you arrived from one of our adverts and whether you then made an enquiry.
We do not ask for or knowingly collect special category data, such as information about health, religion or ethnicity. If you tell us something like this because it affects the work (for example, a mobility need that changes how we fit your stairs), we will use it only for that purpose.
How we collect it
- Directly from you: when you fill in our enquiry form, email, phone or message us, visit the showroom, or when we measure and fit at your home or premises.
- Automatically: when you use this website, through cookies and similar technologies. Anything beyond what the site needs to work is only used if you agree to it. See our Cookie Policy.
- From others: occasionally from someone acting on your behalf, such as a builder, interior designer, landlord or letting agent who passes on your details so we can arrange access or quote for a job.
How we use your information, and why we are allowed to
The law only lets us use your information when we have a lawful reason. Ours are:
- To reply to an enquiry and give you a quote. This is a step you have asked us to take before entering a contract, or it is in our legitimate interests to answer people who contact us.
- To measure, supply and fit your flooring, take payment and deal with any aftercare. This is necessary to perform our contract with you.
- To keep accounting and tax records. This is necessary to comply with the law.
- To run, secure and improve this website. It is in our legitimate interests to keep the site working and safe.
- To measure how people use the website with Google Analytics. Only with your consent, given through the cookie banner.
- To see whether our Google Ads led to an enquiry. Only with your consent, given through the cookie banner.
- To show the interactive map of our showroom. Only with your consent. Without it, you see a picture of the map instead.
Where we rely on legitimate interests, we have weighed them against your rights and expectations, and we do not use your information in ways you would not reasonably expect.
Where we rely on consent, you can withdraw it at any time through the Cookie preferences link at the foot of every page. Withdrawing consent does not affect anything we did before you withdrew it.
We do not make decisions about you by automated means, and we do not sell your information.
Marketing
We do not send marketing emails or newsletters. If we ever start, we will only send them to people who have asked to receive them, and every message will include a way to stop them.
Who we share it with
We only share your information where we need to, and only as much as is necessary:
- Our fitters. Some of the fitters we work with are self-employed. They receive the details they need to carry out your job, such as your name, address, phone number and the work involved.
- Suppliers and manufacturers, where needed to order your flooring, arrange delivery or register a guarantee.
- Basin, which receives and stores the messages sent through our enquiry form.
- Google, which provides our email (Google Workspace) and, if you consent, Google Analytics and Google Ads measurement.
- GitHub, which hosts this website and keeps short-term server logs, including IP addresses, for security.
- Adobe Fonts and Font Awesome, which serve the typefaces and icons on this website. Your browser requests these files directly, so those providers see your IP address.
- Mapbox, which draws the interactive map if you consent to functional cookies.
- Professional advisers, such as our accountants, insurers and lawyers.
- Authorities such as HMRC, the police or a court, where the law requires us to.
- A buyer of our business, if Deben Floors Ltd or its assets were ever sold, in which case your information would continue to be protected in the way this policy describes.
Everyone who handles your information on our behalf must keep it secure and use it only for the purpose we gave it to them.
Transfers outside the UK
Some of the providers above, including Google, GitHub and Mapbox, are based in or store data in the United States. When your information leaves the UK, we make sure it is protected, either because the destination is recognised by the UK government as providing adequate protection (including the UK–US Data Bridge for certified companies), or through the standard contractual clauses approved for international transfers.
Keeping your information safe
We use appropriate measures to stop your information being lost, used or accessed without permission. Access is limited to the people who need it to do their job, and they are expected to keep it confidential. If there is ever a breach that is likely to put your rights at risk, we will tell you and the Information Commissioner’s Office where the law requires us to.
How long we keep it
We keep your information only for as long as we need it:
- Enquiries that do not go ahead: up to two years from our last contact, in case you come back to us.
- Customer and job records, invoices and payments: six years from the end of the tax year the work was completed in, to meet our accounting and tax obligations and to deal with any guarantee or warranty claims.
- Google Analytics data: no longer than 14 months.
- Your cookie choices: stored in your own browser for up to 12 months, after which we ask again.
After that, we delete your information or make it anonymous so that it can no longer identify you.
Your rights
Under data protection law you have the right to:
- Access the personal information we hold about you and receive a copy.
- Correct information that is wrong or incomplete.
- Erase your information, where we no longer have a good reason to keep it.
- Object to us using your information on the basis of legitimate interests.
- Restrict how we use your information while a concern is looked into.
- Move information you gave us to another organisation, where we hold it by consent or under a contract.
- Withdraw consent at any time, where we rely on it.
To use any of these rights, contact us using the details above. We will not usually charge a fee, and we will reply within one month. We may need to ask you to confirm your identity before we act on a request, so that we do not give your information to the wrong person.
Complaints
If you are unhappy with how we have used your information, please tell us first and we will do our best to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

This website links to other sites, such as the manufacturers whose flooring we supply and our social media pages. We are not responsible for how those sites use your information, so please read their own privacy policies.

This website and our services are aimed at adults. We do not knowingly collect information from children.
Changes to this policy
We review this policy from time to time. The date at the top shows when it was last updated. If we make a significant change that affects how we use information we already hold about you, we will let you know.
